Program Manager - Play It Forward
Location: Austin, TX (Hybrid)

Time Commitment: 3-6 hours per week
Position Summary
1
The Program Manager - Play It Forward oversees all aspects of the Play It Forward (PIF) program, including planning, coordination, partnerships, volunteer engagement, program operations, and reporting. This role ensures that each PIF initiative is mission-aligned, well-organized, supported by volunteers, and delivered as a high-quality experience for the communities and organizations we serve.
This position plays a major role in shaping the long-term strategic direction of the Play It Forward program and is responsible for empowering volunteers, fostering community relationships, and ensuring operational excellence.
Key Responsibilities

Program Leadership & Planning
Develop, update. And maintain the annual operational plan for Play It Forward, including goals, community partnerships, event calendar, and program metrics.
Collaborate with the Assistant Director of Programs and Executive Director to establish short-term and long-term program priorities.
Ensure all program activities uphold g3 Games’ mission of building human connection through play.
Partnership Development & Management
Identify, vet, and cultivate community partnerships with Austin-area nonprofits, schools, community centers, and mutual aid groups.
Serve as the primary point of contact for partner organizations.
Conduct needs assessments to determine the most meaningful type of play-based engagement for each partner.
Maintain a partnership database with updated contacts, organizational information, and engagement history.
Event & Activity Coordination
Plan and coordinate Play It Forward events, volunteer deployments, donation drives, game nights, and special program initiatives.
Work closely with partner organizations to schedule events and ensure logistical readiness.
Oversee the creation of event briefs, volunteer assignments, required materials, and post-event follow-up.
Ensure each event is welcoming, inclusive, and community-centered.
Volunteer Management & Support
Collaborate with the Volunteer Manager to recruit, train, and onboard volunteers for Play It Forward activities.
Provide program-specific volunteer expectations, resources, and role descriptions.
Support volunteers during events and ensure they feel safe, appreciated, and well-prepared.
Foster a positive team environment grounded in g3 Games’ values of connection, kindness, and intentional play.
Program Operations & Administration
Maintain program documentation, including required reports, templates, workflows, training materials, and evaluation tools.
Track program budget needs and collaborate with the Finance Manager when expenses are required.
Oversee acquisition, inventory, and distribution of donated items or supplies.
Ensure that program operations follow all internal policies, safety guidelines, and reporting standards.
Evaluation & Reporting
Track metrics related to attendance, engagement, community impact, volunteer satisfaction, and partner feedback.
Compile monthly and quarterly updates for the Assistant Director of Programs and Executive Director.
Identify opportunities for program growth, improvement, or new strategic directions based on data and community needs.
Communication & Collaboration
Provide updates for newsletters, social media, and communications materials in collaboration with the Communications Leads.
Collaborate with the Assistant Director of Operations to ensure program needs are supported organizationally.
Work closely with other Program Managers (current or future) to share resources and alignment across all g3 Games programs.
Qualifications

Required
Strong passion for community building, service, and the mission of g3 Games.
Experience in program coordination, community outreach, social impact work, or related fields.
Excellent communication and interpersonal skills.
Organizational and project management skills with strong follow-through.
Experience leading volunteers or facilitating group activities.
Ability to attend occasional evening/weekend engagements.
Comfort representing g3 Games with professionalism and warmth.
Preferred
Experience working in nonprofit environments.
Familiarity with trauma-informed community engagement.
Understanding of Austin-area nonprofits, community service networks, or social impact ecosystems.
Knowledge of tabletop games, community-building practices, or recreational programming.
