Online Events Coordinator

Location: Remote

Position Summary

1

The Online Events Coordinator is responsible for planning, coordinating, and hosting virtual events for the g3 Games community. This includes online game nights, special themed events, and other digital gatherings designed to engage, connect, and grow the online community. 

The Online Events Coordinator works closely with the Assistant Director of Events, Executive Directors, and other department leads to ensure online events are well-organized, welcoming, and aligned with g3 Games’ mission. 

This role is ideal for someone who enjoys creating engaging and inclusive online experiences and is excited about fostering a sense of community and connection in a virtual environment.


Key Responsibilities

Event Planning & Coordination

  • Develop a regular calendar of online events, ensuring a mix of gaming and social experiences. 

  • Select appropriate virtual platforms, test technical setup, and ensure smooth digital experiences for participants. 

  • Create event outlines, schedules, and participation guides to support engagement. 

  • Coordinate with other g3 Games teams (Programs, Community Affairs, Operations) when integrating content or campaigns into online events.

Event Hosting & Facilitation

  • Host online events, providing introductions, rules explanations, and moderation during play or discussions. 

  • Ensure participants feel welcome, engaged, and included. 

  • Troubleshoot technical issues and guide participants as needed. 

  • Foster positive interactions, facilitate networking or team-building opportunities, and maintain a safe, respectful environment.

Volunteer & Assistant Coordination

  • Work with the Volunteer Manager to recruit and manage online event volunteers or co-hosts. 

  • Train volunteers on hosting responsibilities, moderation, and participant support. 

  • Coordinate volunteer schedules to ensure adequate coverage for events. 

  • Provide guidance and feedback to volunteers during and after events to maintain quality and consistency.

Community Engagement & Feedback

  • Act as a point of contact for online attendees before, during, and after events. 

  • Encourage participant interaction, engagement, and connection to the broader g3 Games community. 

  • Gather participant feedback to inform improvements, identify trends, and report successes to leadership. 

  • Maintain a welcoming and inclusive online community culture aligned with g3 Games’ values.

Event Administration & Reporting

  • Track event attendance, participant engagement, volunteer contributions, and other key metrics. 

  • Maintain records of events, including summaries, key insights, and lessons learned. 

  • Collaborate with the Assistant Director of Events and Executive Director to report on event impact. 

  • Support the Communications Leads by providing materials, photos, and summaries for newsletters or social media.

Special Projects & Collaborations

  • Support themed campaigns or special online initiatives in collaboration with Programs or Community Affairs. 

  • Explore opportunities for innovation in online event formats. 

  • Contribute ideas to enhance online community engagement and strengthen member participation.


Qualifications

Required

  • Passion for g3 Games’ mission and fostering human connection through play. 

  • Strong communication, facilitation, and interpersonal skills. 

  • Experience hosting, coordinating, or participating in online events. 

  • Comfortable with digital platforms such as Discord, Board Game Arena, Zoom, or similar tools. 

  • Organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. 

  • Availability to host events during evenings or weekends.

Preferred

  • Familiarity with tabletop gaming and online gaming communities. 

  • Experience managing volunteers in virtual settings. 

  • Knowledge of community engagement best practices. 

  • Previous involvement with nonprofit or community organizations.
