Membership Manager

Location: Austin, TX (Hybrid / Remote-Friendly)
Position Type: Volunteer Role
Reports To: Assistant Director of Community Affairs (or Executive Director)
Time Commitment: 2-4 hours per week

Position Summary

The Membership Manager oversees the management, engagement, and growth of g3 Games’ membership community. This includes tracking membership data, supporting new and existing members, and collaborating with Community Affairs leadership and the Discord Team to ensure a welcoming, safe, and mission-aligned environment. 

This role is ideal for someone who enjoys working with people, organizing community systems, and helping others feel connected and valued.


Key Responsibilities

Membership Administration

  • Maintain an up-to-date membership database, including contact information, membership status, participation history, and other relevant data. 

  • Ensure accurate records of member registration, renewals, and participation in programs and events. 

  • Generate reports and summaries for the Assistant Director of Community Affairs and Executive Director as needed.

Onboarding & Engagement

  • Welcome new members, provide orientation, and guide them through available programs, events, and community spaces. 

  • Support members in accessing Discord channels, event registration, and volunteer opportunities. 

  • Monitor engagement trends to identify members who may need additional support or outreach. 

  • Help cultivate a sense of belonging and community for all members, especially newcomers.

Cross-Team Coordination

  • Work closely with the Discord Team to ensure smooth onboarding and integration of new members into digital spaces. 

  • Collaborate with Moderators and Admins to identify and address member concerns or issues. 

  • Partner with Communications Leads to ensure members receive clear updates, newsletters, and announcements. 

  • Align membership initiatives with programs, events, and organizational goals.

Community Support & Resource

  • Serve as a point of contact for member questions, concerns, or suggestions. 

  • Help resolve issues or direct them to the appropriate staff or volunteer (e.g., Discord Admins, Program Managers, Executive Director). 

  • Support member-focused initiatives that encourage participation, volunteer engagement, and community growth.

Policy & Standards Enforcement

  • Ensure members understand and comply with g3 Games’ code of conduct, community guidelines, and behavioral expectations. 

  • Collaborate with Community Affairs leadership to address issues such as inappropriate conduct, disengagement, or account irregularities. 

  • Maintain documentation of member interactions and escalations, in alignment with privacy and organizational policies.

Reporting & Continuous Improvement

  • Collect and analyze member engagement data to recommend improvements to community experiences. 

  • Provide monthly or quarterly summaries to leadership on membership trends, retention, and engagement.

  • Contribute ideas for enhancing the membership experience, onboarding process, and member communications.


Qualifications

Required

  • Strong interpersonal, communication, and organizational skills. 

  • Experience managing people or communities, professionally or in a volunteer setting. 

  • Comfort with digital tools for membership tracking (e.g., Google Workspace, spreadsheets, CRM tools). 

  • Empathy and commitment to creating inclusive, safe, and welcoming environments.

  • Ability to manage sensitive information with discretion. 

  • Alignment with g3 Games’ mission, vision, and guiding principles.

Preferred

  • Experience in community management, nonprofit membership programs, or volunteer coordination. 

  • Familiarity with Discord or online community management. 

  • Knowledge of tabletop games or play-based communities. 

  • Experience using membership databases or CRM software.
