Assistant Director of Events
Location: Austin, TX (Hybrid / Remote-Friendly)

Time Commitment: 5-10 hours per week
Position Summary
1
The Assistant Director of Events (ADE) oversees the full ecosystem of g3 Games events (weekly game nights, special gatherings, and future expansions). This role provides strategic leadership, structure, quality control, volunteer development, and operational support for all events.
The person in this role ensures that every g3 Games event reflects a welcoming atmosphere, consistent facilitation, positive community culture, and strong safety practices. They will support, supervise, and develop Event Coordinators while building repeatable systems and helping new Event Hosts thrive.
This is an ideal role for someone who loves building community, enjoys coordinating teams, and finds joy in creating meaningful shared experiences through g3 Games events.
Key Responsibilities

Leadership & Supervision
Supervise and provide ongoing support to the Austin Events Coordinator and Online Events Coordinator.
Hold regular check-ins to provide coaching, problem-solving, and alignment with organizational objectives.
Review and approve event plans, calendars, and host coverage.
Coordinate cross-functional needs with the Executive Director and other Assistant Directors.
Event Strategy & Planning
Develop a consistent event vision across in-person and online spaces.
Lead the long-term planning of weekly, monthly, and special events.
Oversee creation and maintenance of the Annual Events Calendar in collaboration with Events Coordinators.
Ensure events meet g3 Games’ quality standards (structure, safety, accessibility, and inclusivity).
Plan and execute (with support) flagship or seasonal events, such as tournaments, holiday events, and community play activations.
Volunteer & Host Development
Recruit, onboard, and train Event Hosts in partnership with the Volunteer Manager.
Provide recurring training to ensure hosts understand event flow, conflict resolution, play philosophy, and community culture.
Develop systems for event host recognition, retention, and growth.
Quality Assurance & Community Safety
Conduct periodic site visits to observe event quality, safety, and alignment with g3 Games’ standards.
Address participant concerns, incidents, or conflicts escalated by event hosts or coordinators.
Ensure compliance with g3 Games safety protocols, accessibility guidelines, and behavioral standards.
Collect and analyze participant feedback to improve events over time.
Operations & Coordination
Maintain accurate event documentation (guides, protocols, host playbooks, etc.).
Track event attendance, host coverage, and space requirements.
Review and approve event supply needs and coordinate with Operations for purchases.
Work with Communications Leads to ensure events are clearly promoted and updated online.
Ensure smooth alignment between Events, Programs, Operations, and Community Affairs.
Innovation & Growth
Identify opportunities for new event formats, community outreach partnerships, or special gatherings.
Develop pilots of event series or special gatherings.
Create scalable systems for adding new coordinators or expanding to new locations.
Qualifications

Required
Passion for community building, inclusivity, and the social power of games.
Experience coordinating events, teams, volunteers, or hospitality environments.
Strong communication, time management, and leadership skills.
Ability to coach and support multiple roles with empathy and clarity.
Comfortable with problem-solving and making judgment calls during events.
Ability to attend local Austin events periodically (for in-person observation).
Comfortable with digital tools (Google Workspace, Discord, MeetUp).
Preferred
Experience in nonprofit or community organizing.
Background in facilitation, conflict resolution, or training volunteers.
Familiarity with tabletop games and gaming communities.
Experience designing or scaling programs across multiple venues or teams.
Compensation

This is currently an unpaid volunteer leadership position. As g3 Games grows its funding and staffing capacity, this role may be eligible for future compensation, subject to organizational resources and Board approval.
